What the enquiry form collects, why it is collected, and what happens to it afterwards.

What is collected

The enquiry form collects a name, company, email address, phone number, site address and suburb, and the project details entered into the form, including any files attached. It also records the page the form was submitted from, the referring website, any campaign parameters in the link, the submission time and the device type.

Why it is collected

To respond to the enquiry, to price the work, and to understand which pages and campaigns produce enquiries. It is not collected for any other purpose. We are finalising a written statement on whether enquiry details are ever used for follow up marketing, and until that is published on this page they are used only to answer and price the enquiry you sent.

Where it is stored

The enquiry form is provided by HubSpot, and submissions are stored in HubSpot's systems in their Australian region. HubSpot is a global provider and may process data in other countries in the course of running that service, which is governed by their own privacy terms. Email is handled by Microsoft 365. The website itself is served by Cloudflare and holds no enquiry data.

Cookies and measurement

The HubSpot form sets cookies in order to work and to attribute an enquiry to the page and campaign it came from. Most browsers let you block or delete cookies, and the form will still submit if you do. No analytics or advertising tags are installed on this site. If that changes, they will be named here before they are switched on.

Security

The site is served over HTTPS, so anything entered into the form is encrypted in transit. Access to the enquiry inbox and the CRM is limited to Eastern Melbourne Earthworks and the people engaged to run its website and marketing. We are finalising a written statement covering exactly who holds that access and the account security applied to it.

Who it is shared with

Enquiry details are not sold, and they are not provided to anyone for their own marketing. We are finalising a written statement on when details are shared with an engineer, supplier or subcontractor in order to quote a job. If you want to know whether your details have been shared with anyone, ask using the contact details below and you will be told.

How long it is kept

We are finalising a retention period for enquiries that do not proceed to work. Until it is published here, you can ask for your enquiry to be deleted at any time and it will be, unless we are required to keep it for a legal or tax reason.

Access, correction and deletion

Anyone can ask what is held about them, ask for it to be corrected, or ask for it to be deleted. Email [email protected] and you will get a response within 30 days, which is the period set by the Australian Privacy Principles.

Making a complaint

If you think your information has been handled badly, raise it with us first using the contact details below and we will respond. If you are not satisfied with how it is resolved, you can take the complaint to the Office of the Australian Information Commissioner at oaic.gov.au, which is the body that oversees privacy in Australia.

Changes to this policy

If this policy changes, the new version is published on this page and the date below is updated. Sections still being finalised are marked as such above, and will be completed on this page rather than anywhere else.
